Omivo ("Omivo," "we," "us," or "our") provides real-time AI interpreting, captioning, translation, transcription, and related meeting productivity features through our browser extension, website, and related services (collectively, the "Services").
This Privacy Policy explains how we collect, use, store, disclose, and protect information when you use the Services. It is written to be readable, but it is not a substitute for legal advice. If anything is unclear, contact us at [email protected].
1. Information We Collect
a. Account and Contact Information
When you create an account, sign in, subscribe, join a team, contact support, or communicate with us, we may collect information such as your name, email address, login identifiers, organization name, role, subscription status, support messages, and other information you choose to provide.
b. Billing Information
If you purchase a subscription, seat, usage package, or other paid feature, payment is handled by third-party payment processors. We do not store full payment card numbers on our own servers. We may receive limited billing information such as payment status, plan type, renewal date, invoice records, tax information, card brand and last four digits, transaction identifiers, and billing contact details.
c. Meeting Audio and Microphone Input
When you use Omivo in a supported meeting or browser tab, the Services may process meeting audio to provide real-time interpreting, captions, transcription, translation, and related features.
If you enable features that include your own voice, such as two-way interpreting, self-captioning, or translated speech output, Omivo may request microphone access and process microphone audio for that session.
Depending on the feature and browser environment, audio may be processed locally on your device, transmitted to Omivo systems, and/or transmitted to trusted service providers acting on our behalf. Audio is processed to provide the Services in real time. We do not store raw meeting audio or microphone audio as recordings as part of normal operation unless we clearly describe a separate feature and you choose to enable it.
d. Interpreting, Transcript, Translation, and Meeting Content
When you use Omivo, we may process and store content associated with your use of the Services, including:
- live captions, transcripts, and translated text;
- generated interpreting output, including text or audio output where the feature requires it;
- notes, highlights, bookmarks, custom vocabulary, and other content you create;
- AI-generated summaries, action items, and related outputs;
- session history, meeting titles if available, start time, duration, language settings, and usage records;
- product settings, preferences, and interactions.
This information may be processed locally, transmitted to Omivo systems, or handled by trusted service providers so that we can provide real-time interpreting, maintain saved history, sync account features, support teams, troubleshoot issues, enforce usage limits, and improve reliability.
e. Technical, Diagnostic, and Usage Information
We may automatically collect technical and usage information such as:
- browser type and version;
- device and operating system information;
- extension version;
- IP address and approximate location derived from IP address;
- language, region, and time zone settings;
- pages or domains where you activate Omivo, only as needed to provide user-facing features;
- error logs, crash reports, diagnostics, latency, and performance data;
- feature usage, session duration, plan usage, and other analytics events.
We try to avoid collecting information that is not needed to provide, secure, support, or improve the Services.
f. Team and Organization Information
If you use Omivo through a team, business, school, or other organization, we may process organization name, member email addresses, roles, seat assignments, plan limits, usage totals, billing records, and administrative actions.
Organization owners and admins may be able to see account-level and usage information for members, such as seat status and minutes used. Unless a team feature or separate agreement says otherwise, admins cannot read a member's transcript, notes, summaries, or meeting content solely because they administer the team.
2. How We Use Information
We use information to:
- provide, operate, maintain, and improve the Services;
- process meeting audio and optional microphone input to generate real-time interpreting, captions, transcripts, translations, and related outputs;
- generate, display, save, sync, export, and manage transcripts, translations, notes, summaries, vocabulary, and session history;
- authenticate users and manage accounts, teams, seats, plans, usage limits, and billing;
- provide customer support and respond to questions;
- monitor performance, detect errors, debug issues, and improve reliability;
- prevent abuse, fraud, unauthorized access, and security incidents;
- analyze usage trends and improve product design;
- enforce our Terms of Service and other policies;
- comply with legal obligations.
We do not sell your personal information. We do not use your meeting audio, microphone audio, transcripts, translations, notes, summaries, or generated interpreting outputs to train unrelated general-purpose AI models unless we clearly ask for and receive your explicit consent.
3. Legal Bases for Processing
For users in the European Economic Area, the United Kingdom, and similar jurisdictions, our legal bases may include:
- Contract: to provide the Services you request, including interpreting, captions, account access, team management, support, and billing.
- Legitimate interests: to secure, maintain, debug, and improve the Services, prevent abuse, and understand product usage.
- Consent: where required by law, such as certain optional features, cookies, marketing communications, or microphone access.
- Legal obligations: where processing is necessary to comply with law, tax, accounting, security, or regulatory requirements.
4. How We Process and Store Meeting Data
Omivo is built for real-time multilingual communication. To make the product work, meeting audio and optional microphone input may be processed on your device, transmitted over encrypted connections, and handled by Omivo systems or trusted service providers acting on our behalf.
We do not store raw meeting audio or microphone audio as recordings in normal operation. Short-lived audio streams or chunks may be temporarily buffered only as needed to provide real-time processing, reliability, and security.
Transcripts, translations, notes, summaries, custom vocabulary, session history, and related metadata may be stored so you can review past sessions, sync across devices, manage usage, and receive support. You can delete saved content where the product provides deletion controls, or contact us for account deletion assistance.
5. Sharing of Information
We do not sell your personal information.
We may share information in the following limited circumstances:
- Service providers: with vendors that help us provide hosting, storage, real-time speech processing, translation, interpreting, summarization, authentication, payments, analytics, support, logging, security, and reliability. These providers may process personal information only as needed to provide services to us.
- Team and organization administration: with the team or organization that provides your access, limited to account, seat, plan, billing, and usage information unless a separate team feature or agreement provides otherwise.
- Legal compliance: when we believe disclosure is necessary to comply with applicable law, regulation, legal process, or governmental request.
- Protection of rights and safety: to protect the rights, property, security, or safety of Omivo, users, service providers, or others.
- Business transfers: in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, subject to appropriate protections.
- At your direction: when you ask us to share information, export content, or use an integration that requires sharing.
6. Browser Extension Data Use
Omivo requests browser permissions only for product features that need them. We use data received through browser, account, or extension flows only for the purposes disclosed in this Privacy Policy and the product interface, such as sign-in, real-time interpreting, captions, overlays, storage, export, support, security, and reliability.
We do not use browsing activity for advertising, credit decisions, data brokerage, or unrelated profiling. We do not transfer user data to advertising platforms, data brokers, or information resellers.
7. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, secure the Services, and support legitimate business operations.
In general:
- Raw meeting audio and microphone audio: processed in real time and not retained by us as stored recordings in normal operation.
- Transcripts, translations, notes, summaries, vocabulary, and session history: retained until you delete them, your account is deleted, or retention is otherwise limited by plan settings or agreement terms.
- Account and team data: retained while your account or team is active and for a reasonable period afterward as needed for legal, security, and operational purposes.
- Billing records: retained as required for tax, accounting, chargeback, and compliance purposes.
- Diagnostics and logs: retained for a limited period for debugging, security, reliability, and abuse prevention.
- Aggregated or de-identified data: may be retained for analytics and service improvement where it no longer identifies you.
If you delete your account, we aim to remove or anonymize personal information we no longer need within 30 days, subject to legal retention requirements and backup cycles. Deleted information may remain in backups for a limited time until those backups expire or are overwritten.
8. Your Choices and Rights
Depending on your location and applicable law, you may have rights to:
- access personal information we hold about you;
- request correction of inaccurate information;
- request deletion of personal information;
- object to or restrict certain processing;
- request portability of certain information;
- withdraw consent where processing is based on consent;
- opt out of certain uses or disclosures where applicable;
- lodge a complaint with a data protection authority or regulator.
You may also:
- manage saved content inside the product where controls are available;
- delete transcripts, notes, summaries, or session history;
- disable optional microphone access in your browser;
- uninstall the extension;

9. Cookies and Similar Technologies
Our website and related services may use cookies, local storage, pixels, SDKs, or similar technologies to remember preferences, maintain sessions, analyze traffic, improve functionality, and secure the Services.
You can usually control cookies through your browser settings. Disabling some technologies may affect service functionality.
10. International Data Transfers
Your information may be processed and stored in countries other than your own, including the United States and other jurisdictions where we or our service providers operate. Where required, we use appropriate safeguards intended to protect transferred information, such as contractual protections or other lawful transfer mechanisms.

We use reasonable administrative, technical, and organizational measures designed to protect information, including access controls, encryption in transit, monitoring, and operational safeguards. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
