Omivo is designed for real-time multilingual meetings without adding a bot to your call or storing meeting recordings by default.

How Omivo handles meeting data

Omivo runs inside your browser when you activate it on a supported meeting or browser tab. There is no server-side bot dialing into the meeting on your behalf. Other meeting participants will not know Omivo is in use unless you tell them or unless your own environment, organization, or platform policy requires disclosure.

Meeting audio is captured through browser extension permissions and processed for real-time interpreting, captions, transcription, translation, and related features. Depending on the feature and browser environment, Omivo may process audio locally and/or transmit short-lived audio streams or chunks to Omivo systems and trusted service providers acting on our behalf.

If you enable features that include your own voice, such as two-way interpreting, self-captioning, or translated speech output, Omivo may request microphone access and process microphone audio for that session. Microphone access is optional and used only for the feature you enable.

Raw meeting audio and microphone audio are not stored as recordings in normal operation. Short-lived audio streams or chunks may be temporarily buffered only as needed to provide real-time processing, reliability, and security.

Transcripts, translations, notes, bookmarks, summaries, custom vocabulary, and session history may be stored so you can review, search, sync, export, and manage past sessions. Session metadata such as start time, duration, language settings, feature usage, and minutes consumed may be stored for account history, billing, usage limits, diagnostics, and reliability monitoring.

If you use a Team plan, organization owners and admins may see per-member account status, seat assignment, and usage totals for administration and billing. Unless a team feature or separate agreement says otherwise, admins cannot read another member's transcript, notes, summaries, or meeting content solely because they administer the team.

If we introduce a feature that stores a new type of meeting data, such as saved audio clips, we will make that behavior clear before release and require opt-in where appropriate.

Browser permissions

The extension requests browser permissions only for product features that need them. Each permission is used for the purpose listed.

In addition to extension permissions, Omivo may request browser microphone access when you enable a feature that uses your own voice. Microphone access is optional and should be visible in your browser's permission controls.

Host permissions are limited to supported meeting platforms and Omivo service domains needed for sign-in, real-time processing, storage, billing, analytics, support, security, and reliability.

Security practices

Omivo uses administrative, technical, and organizational safeguards designed to protect user data, including:

  • encrypted transport for data transmitted between the extension, website, backend services, and service providers;
  • access controls for production systems and customer data;
  • least-privilege access for internal tools where practical;
  • authentication and authorization checks for account and team features;
  • monitoring, logging, and alerting for reliability and abuse prevention;
  • separation between account, billing, usage, and meeting-content workflows where practical;
  • limited retention for diagnostics and logs;
  • review of extension permissions before release;
  • vendor review appropriate to the data being processed.

Data retention and deletion

Raw meeting audio and optional microphone audio are processed in real time and are not retained by us as stored recordings in normal operation.

Saved transcripts, translations, notes, summaries, custom vocabulary, and session metadata are retained while your account is active so you can use history, search, sync, export, team usage, support, and billing features. You can delete individual saved items where product controls are available.

To request deletion of your account and saved meeting data, email [email protected] from the address tied to your account. We aim to process account deletion requests within 30 days, subject to legal retention requirements and backup cycles.

Billing, tax, accounting, fraud prevention, security, and legal records may be retained after account deletion where required or reasonably necessary.

Third-party service providers

Omivo uses trusted service providers for hosting, storage, real-time speech processing, interpreting, translation, summarization, authentication, payments, analytics, support, logging, security, and reliability. We share data only as needed to provide, secure, support, and improve the Services.

We do not publish provider names on this page. Subprocessor details are available on request for team, enterprise, security review, and procurement conversations.

Compliance and certifications

Omivo is not currently claiming SOC 2, ISO 27001, HIPAA, FedRAMP, or similar certification unless we provide a separate written statement saying so.

Compliance certifications and formal audit reports are part of our enterprise roadmap. For team or enterprise evaluations, we can provide reasonable security questionnaire responses, data handling details, and subprocessor information on request.
